Recording & Media Policy

Guidelines for photography, recording, and media use

CAIS 2026 encourages documentation and sharing of research presentations while respecting individual privacy, intellectual property, and presenter preferences. This policy outlines what is permitted and how to engage responsibly with conference content.

Recording Program Content

What's Permitted

  • Photography and video of presentations, slides, posters, and demos is generally permitted unless otherwise indicated
  • Audio recording of sessions for personal reference
  • Note-taking and screenshots for academic purposes
  • Social media sharing with proper attribution

Restrictions

  • No recording when a presenter, session chair, or organizer indicates content is off-the-record
  • Respect "no photo/video" indicators displayed on slides or stated verbally
  • No recording during closed sessions, workshops requiring NDA, or informal discussions unless all parties consent
  • No flash photography during presentations

Individual Privacy & Consent

Photographing or Recording Individuals

Always obtain consent before photographing or recording identifiable individuals, especially in close-up or candid situations.

Respect opt-out indicators: Some attendees may wear badges, stickers, or lanyards indicating they do not wish to be photographed. Honor these preferences.

Group settings: Wide shots of audience or poster sessions are generally acceptable, but avoid focusing on specific individuals without permission.

Social Media & Publication

Attribution: When sharing photos or quotes, credit the presenter/author and include the session/paper title when possible.

Context matters: Avoid misrepresenting content or taking quotes out of context.

Tagging: Do not tag individuals in photos without their permission.

Removal requests: If someone requests removal of content featuring them, comply promptly.

Official Conference Recording & Streaming

What We Record

CAIS 2026 may record and livestream select sessions, including:

  • Keynote presentations
  • Plenary sessions and invited talks
  • Select paper presentations and panels

Presenter consent: All presenters are notified in advance when sessions will be recorded. Presenters may opt out of recording.

Audience participation: If you ask a question or make a comment during a recorded session, you may be captured in the recording.

Access: Recorded sessions will be made available to registered participants and may be published on the ACM Digital Library or conference website with appropriate permissions.

Opting Out

Presenters: Contact program chairs if you do not wish your session to be recorded.

Attendees: Sit outside camera view or refrain from speaking during recorded Q&A if you prefer not to be captured.

Recording indicators will be clearly posted at session entrances.

Press & Credentialed Media

Credentialed press and media representatives are welcome at CAIS 2026 and must follow these guidelines:

Intellectual Property & Copyright

Presenter rights: Presenters retain copyright to their work. Recording, photographing, or sharing content does not grant rights to republish, redistribute, or use content commercially without permission.

Permitted use: Personal academic reference, fair use citations with attribution, and sharing on social media with credit are generally acceptable.

Prohibited use: Do not reproduce slides, papers, or presentations in full without permission. Do not use conference content for commercial purposes.

Questions about use rights: Contact the original authors or presenters directly for permission to reuse content beyond fair use.

Reporting Violations or Concerns

If you observe violations of this policy or have concerns about how you've been photographed or recorded:

  • Contact conference staff immediately (look for STAFF badges)
  • Email contact@caisconf.org
  • Speak with a session chair or organizer

Violations may result in removal of recording privileges, ejection from sessions, or other consequences per our Code of Conduct.
